# Create a programme

> Create a programme, write what parents read about it, choose who can book it, and copy it to next term.

A programme is the thing you run: a breakfast club, an after school club, a holiday camp, a weekly class or a course. Creating one takes a name, how parents book it and a cancellation policy. Dates, prices and photos come next.

> [!NOTE]
>
> Only a **Manager** can create or change programmes.

## Before you start

* You have at least one cancellation policy. If you don't, ClubDock stops you and points you to **Settings → Cancellation** to add one first. See [Cancellation policies](https://clubdock.co.uk/docs/programmes/cancellation-policies.md).
* If the programme runs somewhere other than your usual venue, add that venue first under **Settings → Venues**. See [Sites](https://clubdock.co.uk/docs/settings/venues.md).

## Create it

**1. Go to Programmes and press New programme**

The first time the person who created the club opens **Programmes**, it explains what a programme and a session are and offers five starting points under **Start from one of these**: breakfast club, after school club, holiday camp, weekly class and course. Picking one fills in a name and how parents book it. Nothing else is filled in, because capacity, prices and dates are yours to decide. Press **Start from scratch** to start from an empty form instead.

**2. Name it**

Use the name parents will recognise, such as "Summer Camp 2027" or "Breakfast Club".

**3. Choose how parents book it**

Under **How do parents book it?**, choose **Parents pick the dates they want** (best for breakfast, after school and drop-in sessions) or **Parents book the whole block** (best for a term of weekly classes, a camp week or a course). See [How parents book](https://clubdock.co.uk/docs/programmes/how-parents-book.md).

**4. Choose where it runs and its cancellation policy**

Under **Where does it run?**, pick the venue. Under **Cancellation policy**, pick the rule it follows. If you have only one policy, it applies automatically.

**5. Save, then add its dates**

Saving takes you to the dates page. See [Sessions and dates](https://clubdock.co.uk/docs/programmes/sessions-and-dates.md). Press **Back** from there to return to the new programme's overview, where you can add photos.

> [!NOTE]
>
> ClubDock doesn't ask what kind of club a programme is. Capacity, prices, booking and registers work the same way for every kind, so the starting points only save you typing.

## Choose who can book

**Who can book** is one line on the overview, such as "Any age. Any school." Press **Edit** to limit it by:

* **School year**, such as Reception to Year 6, or a single year ("Year 3 only").
* **Age**, such as "Aged 5 years and over" or "Aged 4½ to 11 years".
* **School**: tick the schools whose children may attend. No schools ticked means any school.

As you tick, the panel shows what the overview will say, such as "Reception to Year 6. Only children at St Mary's CE Primary." Parents only see the programme for children who fit.

You can change who can book while a programme is live. Only new bookings are checked against it: a child already booked keeps their place, whatever their year or school.

## Write what parents read

Under **What parents read**, each item has **Add** (or **Edit** once written). All of these can change at any time, even while the programme is live, and parents see the change straight away.

| Item | What it's for | Limit |
| - | - | - |
| **Tagline** | One line under the programme's name, read at a glance. "Sport, art and a trip out every Friday" | 100 characters |
| **Description** | The full write-up, with headings, bold, lists, links and tables. Parents see it under "About" and the programme's name | — |
| **Need to know** | One item per line: things a parent must read before booking. "We are a nut-free site", "Collection by 18:00 sharp" | 2,000 characters |
| **What to bring** | One item per line: kit. "Sun hat", "Water bottle", "Packed lunch" | 1,000 characters |
| **Photos** | Up to 8. Photo 1 is the cover, at the top of the page and on the programme's card | 2 MB each |

Parents see **Need to know** and **What to bring** on the programme page before they book, in their calendar when they open that day, and in the booking confirmation email.

> [!TIP]
>
> You can paste a description from Word or Google Docs. Formatting, pound signs, ampersands and curly quotes come through as written.

If you go over a limit, the save is refused and the message under the box says how long the text is now. Nothing is cut short without telling you.

## Add photos

Photos can only be added once the programme exists. Choose one or several images. Each one opens in **Frame your photo**, where you drag it to move it and zoom with the slider, the buttons, the mouse wheel or by pinching. **Use this framing** adds it. With several photos you frame them in turn, and **Skip this photo** leaves one out.

* **Move earlier** and **Move later** change the order. Moving a photo to the front makes it the cover.
* The box under each photo describes it for parents who use a screen reader. It saves when you leave the box.
* Removing a photo asks first. Once removed, the image is deleted.

Programme photos save as you make each change, so the panel closes with **Done**.

> [!NOTE]
>
> A file that isn't a photo, or is over 2 MB after resizing, is refused. SVG files are always refused.

## Copy a programme to next term

Open the row's menu on **Programmes** and choose **Duplicate**. Choose the **First day of the copy**. Every date shifts by the same amount, so starting on a Monday keeps Mondays as Mondays.

The copy keeps the times, prices, places, school limits, extras, discounts, trial session, booking email settings and everything parents read, photos included. Prices for set dates, such as an early bird price, shift by the same number of days. The copy arrives as a draft with no bookings. It sells every date, and leaves the old sale dates behind.

> [!NOTE]
>
> The copy has its own photos. Removing a photo from next term's programme doesn't touch this term's.

## Delete a programme

You can delete a programme that has never had a booking. One that has had bookings, even if every place has since been cancelled, is kept as a record. Unpublish it to take it off sale instead. See [Preview and publish](https://clubdock.co.uk/docs/programmes/preview-and-publish.md).
