ClubDock charges by the calendar month, after it ends, on the value of the sessions your club ran in it. Everything is included in every band, the free one too — except Xero and QuickBooks, £6 more in a month they carry.

There are no plans. A club in the free band gets exactly what a club in the £36 band gets.
Xero and QuickBooks: £6 more in any month with sessions on bookings sent to your accounts. A month with none costs nothing for it, and nothing else is extra.
What that looks like
- An after-school club in term time
- About £3,000 of sessions in each term-time month. It pays £18 for each of those months, and nothing for August if it does not run.
- A summer holiday camp
- Sessions in July and August only, £8,000 in July and £7,000 in August. It pays £36 for July and £36 for August, £72 for the year, and nothing in the ten months it does not run.
- A weekly dance class
- Three classes a week in term time, about £1,200 of sessions a month. It pays £18 in each of those months, and nothing in August or any month it does not run.
- A breakfast club just starting
- Under £500 of sessions in its first term. It pays nothing, for as long as that stays true, with everything but Xero and QuickBooks included.
What the alternatives charge
Booking software in this sector is usually a monthly fee plus a percentage of every booking you take. The percentage is the part that grows: a club turning over £3,000 a month pays around £90 of it before the subscription.

Questions
- What counts towards a month?
- The sessions your club runs in it: every booked session dated in that month, at the price it was booked at. When the booking was made does not matter, so an autumn term sold in August counts in September to December, when you run it.
- When are we billed?
- After each month ends, for that month. The bill is paid by a card you save in ClubDock, or from a payment link we email you. A month under £500 has no bill at all.
- We only run in the holidays. Do we pay all year?
- No. You pay only in months you run sessions. A camp running in July and August pays for July and August, and nothing for the rest of the year. The same goes for a school club that does not run in the holidays.
- What happens if a bill is not paid?
- You have 14 days. After that your club becomes read-only until it is paid: nothing is deleted, you can still see and export everything, and taking a register still works.
- Can we stop?
- Whenever you like. There is no contract and nothing to cancel. A month in which your club runs under £500 of sessions costs nothing, so a club that stops using ClubDock simply stops being billed. Your last bill is for the last month you ran sessions.
- Do you take a cut of what parents pay us?
- No. Parents pay you directly by bank transfer, Tax-Free Childcare, vouchers or cash. ClubDock records what is owed and what has arrived, but your income never passes through us.
- Will the prices change?
- They might. If they do, we will tell you at least 30 days before, and a change only applies to months that start after that.
- Is VAT added?
- No. £18 or £36 is what you pay, with nothing added.
