If your club runs wraparound care, staff walk children into school after breakfast club and collect them from the gate afterwards. The register can be narrowed and grouped by school for that walk, and printed as a short name list to carry.

Before you start

  • Your club records each child’s school and school year. Parents give these when they register, and you set up your list of schools under Settings → Schools. See Schools.
  • If your club records neither, nothing on the register changes.

What each row shows

Each child’s row shows their school year and school, muted, under their name, for example “Year 3 · St Mary’s CE Primary”. If a parent typed a school your club has not added, it still shows. The child still goes there, and a list without it would send someone to the wrong gate.

Filter by school

  1. On the register, press Filter.
  2. Choose by School, School year or Session. Only values on today’s register are offered, and Session appears only when the register has more than one kind of session.
  3. Every option starts selected. Turn off the schools you are not walking to.
The register filter on a phone, with one school turned off
While the register is narrowed, the button reads Filtered, so a short list is not mistaken for a short day. If you turn every school off, the filter clears rather than emptying the register. If your filters leave nobody, the register says “Nobody on the register matches those filters”. The three counts at the top, expected, in and done, always count the whole register, whatever you have filtered.

Group by school or school year

In the same sheet, choose what to group by: School, School year or Session.
  • By school: a heading per school with its own count. Children whose school nobody recorded are grouped under Not given, always last, so nobody is lost.
  • By school year: Nursery, Reception, then Year 1 upwards, in order.
Two spellings of the same school make two groups. Tidy your list under Settings → Schools to fix it.
  1. Press Print.
  2. Under Which sheet, choose Name list.
  3. Check the grouping, which starts the same as the screen.
  4. Press Print.
The name list is portrait, made to fit one page: a tick box, name, school year and school for each child, grouped as you chose. It matches what is on screen, filters included. A child with an allergy gets a red marker and a footnote, but not the details, which is enough to send someone back to the register before they walk. The file is named list-… so it is not confused with the full register, which does carry medical details.

To tell each school in advance which children you will be bringing, set up a scheduled bookings report to the school office. See Scheduled reports.
